Office Administrator

Description:A Project Management Consultancy Firm in Johannesburg is looking for an Office Administrator. 


CRITICAL ASPECTS TO THE POSITION:

These are the areas of critical importance to your department, position and the company. They must be reported on monthly and considered in conjunction with your job function:

Excellent communication skills (written and verbal);
Excellent administration skills;
Excellent logistics and coordination skills;
Solid understanding of business principles. 

GENERAL DESCRIPTION OF THE JOB:

1. Undertake administration activities for the organisation;
2. Undertake financial administration activities for the organization;
3. Provide coordination and logistics support as needed;
4. Procure quotations as required, and ensure that service providers deliver as per agreed specifications and timeframes;
5. Set-up meetings and liaise with stakeholders;
6. Raise any matters and/or concerns as they relate to delivery of tasks; 
7. Undertake document management (office filing) and data capturing; 
8. Undertake minute taking (internal and external), with minimal turnaround time;
9. Other administrative functions as required;

MAIN JOB PURPOSE

To be an integral part of the company. To provide a full support function to the CEO, project colleagues and clients so as to ensure that the company attains its goals. 

MINIMUM QUALIFICATIONS/ EXPERIENCE REQUIRED FOR THIS POSITION:

Relevant Tertiary Qualification:  Preferably BCom Business and Financial Management;
Preferred, but not mandatory:  Knowledge of Financial Management;
Work Experience:  2 years working experience;
Excellent administration skills;
Computer literacy: MS office;
Proven typing ability;
Excellent Document Writing Skills;
Good communication and interpersonal skills;
Must be willing to work overtime, where necessary;
Must be willing to travel and work on demand dependent on volume of activities as requested;
Professionalism;
Deadline orientation.

COMMUNICATION:

All activities, reports, and other information/feedback should be communicated to the CEO;
Communicate with the CEO on any foreseen or current issues; 
It is expected that all reports and/or data forms are submitted as required to the CEO;
Work with project assistants, internal and external, to achieve objectives;

OTHER:

Other duties as required to ensure the success of the organisation;
Collaborate and assist team members when required;
Actively promote the growth of the organisaiton, and uphold the company standards and beliefs;
Adhere to your work checklist schedule in terms of your daily, weekly, monthly, quarterly and yearly tasks.
